Administrative Assistant
Job Description
Hire Up Staffing is seeking a highly organized and detail-oriented Administrative Assistant with experience in the construction industry to join our client. The ideal candidate will provide crucial support to our project managers, office staff, and Senior Leadership.
Pay is up to $50k annually
This is a 100% onsite opportunity
Responsibilities:
- Assist project managers with administrative tasks such as scheduling meetings, preparing documents, and maintaining project files.
- Coordinate communication between project teams, subcontractors, suppliers, and clients.
- Prepare and submit project-related documents, including contracts, change orders, and invoices.
- Maintain accurate records of project expenses, budgets, and timelines.
- Assist with procurement by obtaining quotes, placing orders, and tracking deliveries.
- Manage incoming calls, emails, and correspondence related to projects and general inquiries.
- Provide general administrative support to the office as needed, including filing, data entry, and organizing office supplies.
Requirements:
- Previous experience as an administrative assistant in the construction industry is required.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management software.
- Experience with Asana software is highly preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Knowledge of construction terminology, processes, and procedures is preferred.
- High school diploma or equivalent; additional qualifications in office administration or construction management are a plus.
