Bilingual Executive Assistant (Spanish Required) - Urgent Hire
Position: Executive Assistant
Type: Temp-to-Hire (Direct hire is not an option)
Pay: $75,864 annually, exempt

We are seeking a highly qualified Bilingual Executive Assistant with a minimum of 5+ years of administrative or executive assistant experience. This role supports multiple department managers and requires fluency in both English and Spanish (reading, writing, speaking, and translating). Candidates with experience in government entities are highly encouraged to apply.
Key Qualifications:
- Proven experience creating Board meeting agendas and minutes.
- Direct supervision of administrative staff.
- Must be fluent in Spanish, including translating written correspondence from English to Spanish.
- Minimum of 5 years’ experience as an Executive Assistant or Office Manager.
- Stable work history with longevity in previous positions.
- Government entity experience is a strong plus.
Essential Duties:
- Assist with all aspects of daily and long-range administrative tasks for the Housing Authority.
- Supervise and train clerical personnel in Housing Authority functions.
- Manage all incoming and outgoing correspondence, including writing, reviewing, and occasionally signing documents.
- Handle all aspects of Board of Commissioners meetings (agendas, board packets, minutes).
- Prepare legal correspondence and documents for the agency's attorney.
- Take and transcribe minutes for preconstruction conferences and safety committee meetings.
- Compile reports and prepare applications for submission to state, local, and federal agencies.
- Act as Secretary for TMHSA Housing, Inc.
- Assist with various administrative duties such as landscape contracts, backflow testing reports, and utility allowance forms.
- Serve as site coordinator for the AED program, ensuring compliance with regulations.
- Prepare minutes for public hearings and Resident Council meetings.
- Provide support to the Human Resources Manager and other departments as needed.
- Provide Spanish translation services for Central Office and area offices.
Schedule:
Monday – Friday, 8am-5pm. Overtime may be required based on needs (salaried position).
