Executive Office Administrative Assistant 
  • Location: Fresno, CA
  • Schedule: Monday–Friday, Full-Time, In-Office

Hire Up Staffing is partnering with a well-established organization in Fresno, CA to find a highly organized and detail-oriented Executive Office Administrative Assistant (EOAA). This direct hire opportunity offers a full-time schedule, competitive pay, and the chance to work closely with executive leadership in a collaborative and mission-driven environment.

Position Summary:
The Executive Office Administrative Assistant provides high-level administrative and organizational support to the Executive Office Director and CEO. This role ensures executive priorities are executed with professionalism, accuracy, and efficiency. Responsibilities include managing schedules, coordinating communication, preparing documentation, and supporting marketing and project initiatives.

Key Responsibilities:
Executive Support & Coordination
  • Manage the CEO’s calendar, schedule meetings, and coordinate logistics under the direction of the Executive Office Director.
  • Serve as delegated support for the CEO’s email and Wrike inboxes, ensuring continuity in communication.
  • Coordinate travel arrangements, hospitality details, and meeting preparation.
  • Prepare meeting materials, agendas, and summaries for executive and departmental meetings.
  • Track and organize executive correspondence, approvals, and follow-up items.
  • Maintain accurate digital and physical filing systems for the Executive Office.
  • Assist in preparing company-wide reports or dashboards as assigned.

Administrative Workflow & Communication
  • Monitor internal communications to ensure efficient information flow between the CEO, Executive Office Director, and departments.
  • Draft, proof, and distribute communications on behalf of the Executive Office.
  • Maintain confidentiality and discretion in handling sensitive information.

Collaboration with Marketing & Project Teams
  • Assist with administrative components of marketing projects as directed.
  • Support project documentation, scheduling, and reporting within Wrike.
  • Communicate project status or outstanding items between Project Assistants and the Executive Office Director.

Required Skills & Experience:
  • Minimum 3 years of administrative experience supporting executives or senior management.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities with professionalism and discretion.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and Wrike (or comparable project management software).
  • Experience using CRM systems preferred.
  • High degree of emotional intelligence, initiative, and confidentiality.


Supervision Structure:
Reports directly to the Executive Office Director and collaborates closely with the CEO.
