Medical Office Lead

Job Description
Schedule: M-F 8AM-5PM
Salary: $23.00-$25.00 DOE
Essential Duties and Responsibilities:
- Oversee daily workflow of the office.
- Communicate with providers, staff and administration regarding policies, procedures and the needs of the department.
- Monitors and communicates with administration via email each day.
- Review daily timesheets for missed punches, missed breaks or late lunches.
- Manage PTO staff requests and provider vacations.
- Order supplies, vaccines and medications; maintaining adequate stock.
- Oversee, schedule and train new staff.
- Acquires knowledge and participates in physician incentive programs.
- Conducts regular, monthly staff meetings.
- Adheres to the policies and procedures of the Handbook and leads by example.
- Problem solves and implements conflict resolution skills.
- Documents and discusses performance or behavior issues with employees.
- Addresses/handles patient concerns/complaints in a calm, professional manner.
- Uses organizational skills to track and monitor trends, encounter forms, staff absences, etc.
- Attends monthly meetings as required for training, updates and changes.
- Does department outgoing referrals or assists in process to make sure patients are being scheduled.
- Oversees and/or performs autoclave cleaning/testing, refrigerator/freezer temp, maintain eye wash station.
- Meets with each staff member and conducts annual Performance Evaluations.
- Handles medical record requests, subpoenas and audit requests.
- Has a strong working knowledge of each staff position and fills in as back-up when needed.
- Assist in the interview process of hiring new staff.
- High school degree or equivalent required.
- Medical Assistant Certification required.
- Current BLS Certification required.
- 18 months minimum supervisory level experience in a medical care group practice.
- Two years minimum certified medical assistant experience.
- Knowledge of common safety hazards/precautions.
- Problem-solving skills.
- Skill in maintaining records and basic correspondence.
- Ability to react calmly and effectively in emergency situations.
- Good communication skills.
- Ability to establish and maintain effective working relationships with patients, medical staff and the public.
- Proficient with applicable computer software and applications, including working knowledge of Outlook email.
- EMR experience, EPIC and NextGen a plus.
- Ability to perform functions of a Medical Assistant, Front Desk, Phones and Referral Specialist as per each individual department needs.
- Acquires knowledge and participates in physician incentive programs.
- Leads by example. Adheres to the policies and procedures in the Handbook and monitors and enforces policies with staff.

While performing the duties of this job, the employee is regularly required to stand, walk, sit; use hands for clerical duties and keyboarding. The employee is occasionally required to reach with hands and arms; stoop and kneel. Acute hearing is necessary for telephone and in-person communication with callers and assisting patients, and visual acuity sufficient to read a computer screen and paper documents.
The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job includes close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
